Important Accounting Updates
Monthly Closing Information
The Accounting & Reporting Office is responsible for closing the general ledger and all sub-systems and sub-ledgers in PeopleSoft on monthly basis for the University and its auxiliaries.
General Ledger
The Accounting office aims at closing the campus (BKCMP) general ledger every month by the 10th day of the subsequent month. All Expenditure Transfers and Chargebacks must be received by the Accounting & Reporting Office by the 25th of the closing month for guaranteed processing. This allows for sufficient time for the Accounting Office to submit FIRMS data on a monthly and quarterly basis to the CSU Chancellor's Office and State Controller's Office. Monthly closing for Auxiliary organizations will occur by the 10th day of the subsequent month.
Accounts Payable
The Accounts Payable sub-system is generally closed every month by the 2nd day of the subsequent month. Closing will occur after all vouchers and payments have been posted for the closing month. In addition, the Purchasing sub-system will be closed at the same time as Accounts Payable. For questions related to Accounts Payable, please contact Becky Lappin at ext. 2531.
Accounts Receivable
The Accounts Receivable sub-system is generally closed every month by the 5th day of the subsequent month. For questions related to Accounts Receivable, please contact Kathleen Wheeler at ext. 3975.
Asset Management
The Asset Management sub-system is generally closed every month by the 2nd day of the subsequent month. Closing will occur after all assets have been capitalized for the closing month. For questions related to Asset Management, please contact Vesta Burgess at ext. 2205.
Year-End Deadlines
In order to comply with the various closing deadlines and requirements of the State Controller's and CSU Chancellor's Offices, the Accounting & Reporting office must adhere to the following deadlines for processing various campus transactions. These deadlines will ensure that our office meets all reporting deadlines set forth by the SCO and CO.
